Count choices before sending the inquiry
Create a short list of requested meals and the number of each. Keep optional changes separate until Z confirms what is possible. A total headcount with no breakdown can leave the kitchen guessing whether everyone wants the same dish. If you are choosing trays, explain what else the team will eat.
Make dietary requests specific
Ask colleagues for the ingredients or preparation they need to avoid, then communicate those requirements accurately. Do not label a meal halal, vegan, gluten-free or allergy-safe from its name or photograph. Z must confirm the actual preparation and whether she can accommodate the request.
Choose a handover that works for the building
Share the exact business address privately with Z when arrangements are being agreed. Explain any reception desk, access restriction or receiving contact. Do not assume delivery is available or included. If someone is collecting the food, confirm the place and time directly with the kitchen.
Plan how meals reach people
For individual portions, ask how choices can be identified. For trays, assign a place for food and appropriate serving utensils. Mention if staff eat in shifts so Z can discuss the request with that in mind. The gallery shows previous meal formats; your packing arrangement still needs confirmation.
Keep the payer and order coordinator aligned
Agree who pays after Z confirms the total. The payment page lists the owner-provided methods, but it is not a checkout or an invoice. Share the confirmed food list and arrangements with the person receiving the order. Avoid separate last-minute messages from several colleagues that change the same order in different ways.
